Most church care teams do not lose track of people because they lack love; they lose track because paper lists, spreadsheets, and mental notes make the gaps hard to see. OurChurchCare is a web-based church care management tool for deacons, elders, pastors, and volunteer care teams who want every family in the congregation to receive consistent personal contact.^1
The platform lets churches import family records, assign each family to a care team member, log calls, texts, emails, visits, and in-person conversations, set configurable contact frequency windows (every 30, 60, or 90 days), and see overdue families on a dashboard with a weekly email digest. It is intentionally not an automated messaging system: the app helps organize the work while real people make the actual calls, visits, and follow-ups.^2 Team members can also create follow-ups with priority levels (low, normal, high, urgent) and due dates, and track birthday reminders per family.
OurChurchCare was built by John Hicks, who is currently transitioning into full-time pastoral ministry, after seeing families at his own church contacted unevenly through paper lists. He frames the tool as "born out of local church ministry to solve a universal church problem" and grounds the work in Acts 20:28's call to shepherding.^3 The public demo shows the core workflow in practice: CSV family import, personal and staff dashboards, assignment visibility, adjustable contact windows, contact history, role-based volunteer access, and follow-up tracking.^4
It works alongside existing church management systems (Planning Center, Breeze, Tithely, and others) rather than replacing them, and it runs as a Progressive Web App that can be added to an iPhone or Android home screen without an app-store download.^2
